SaaS Database Migration: A Data Preservation Checklist

Plan the writes, comparisons and recovery decisions that must be resolved before your SaaS changes its database host.

Account for changes during the move

To protect customer data during a SaaS database migration, rehearse how you will copy records, handle ongoing writes and compare the intended source and target state. Before switching the application, verify the required data and customer flows. Plan recovery for writes accepted after the switch. A completed transfer alone cannot establish that the migration preserved everything the product needs.

Define which migration you are planning

This checklist is for moving the database behind a SaaS you operate to another host or environment. It is not a procedure for replacing your CRM or changing a single field.

Identify the source and target engines and versions, who writes to them, and what interruption customers can tolerate. A background import or scheduled job can still change records when the web interface is quiet. Give one person authority to stop the switch when required evidence is missing.

Assign an owner to every required check. Unresolved evidence keeps that gate open.

Set the gates before switching

GateProof to request
ScopeList the records, relationships, permissions and external files the product requires. Check which schema objects and sequence state the transfer method omits.
WritesRehearse a supported write pause or transfer-plus-change strategy. Account for applications, jobs and integrations that can still write.
Data comparisonAgree the state and checkpoint being compared. Check required content and relationships, record coverage and resolve mismatches. Equal counts alone are insufficient.
SwitchComplete synchronization and required validation, route the application deliberately, and repeat important customer actions. Confirm all writers use the intended destination.
RecoveryCreate a new record on the target in rehearsal, then exercise the recovery path. Demonstrate how that record survives instead of returning to an outdated source.

Follow the edit made during copying

Imagine a customer changes a delivery address after the initial copy starts. Check that the intended target contains that edit at the agreed checkpoint. Then, after the rehearsal switches to the target, create a new order and test the planned recovery.

If returning to the old database makes that order disappear, the recovery plan has failed this case even if the application starts. Resolve how later accepted writes will be preserved before the live cutover. This hypothetical exercise tests two different moments in the same move; it is not a claim that a real migration passed.

Replication has a defined scope

For example, PostgreSQL logical replication transfers table data and changes but does not itself replicate schema changes or sequence state. Copying the rows is therefore only part of a writable switchover. Other engines and tools have their own constraints.

Validation also takes time and resources. Pending or unsupported comparisons remain unknowns. A maintenance window may be the appropriate choice when continuous operation cannot be demonstrated. This checklist does not guarantee zero loss or zero downtime.

Review the cutover before committing

Bring the engines, write patterns, required customer flows and interruption constraints. Gridfused can help plan, rehearse and implement the migration around those conditions.
